    Managing your calendar & bookingsWix Bookings: Letting Clients Check In by Scanning a Chip, Card or Barcode < Back Managing your calendar & bookings Wix Bookings: Letting Clients Check In by Scanning a Chip, Card or Barcode Connect a wedge reader to the Client Check-In app to allow your clients to check in as they arrive for sessions. Depending on the reader you have, clients can check in using a card, fob or a QR code. Before you begin: If you have not done so already, add the Client Check-In app to your site. If you already installed the app, make sure to update to the latest version to connect your wedge reader: Go to Manage Apps in your dashboard. Click Update App next to Client Check-In. Step 1 | Allow clients to scan to check in To allow clients to check in using a wedge reader, start by enabling the toggle in the Client Check-In app. Choose what happens when clients scan their chip, card or barcode – if they booked multiple sessions, you can check them into the first available session or all at once. To allow clients to check in by scanning a chip, card or barcode: Go to Manage Apps in your dashboard. Click Open next to Client Check-In. Click the Scan tab. Enable the Let members scan to check in toggle. Choose what happens when clients scan using the wedge reader:Check them into all sessions: Clients check in for all their upcoming appointments and classes. Check them into their first available sessions: Clients check into the next class or appointment they booked. Let members choose which session to check into: Allow clients to choose which classes or appointments they want to check into. Click Save . Step 2 | Set up client IDs with your wedge reader After enabling the toggle, the CheckInId field appears on your members' Contact cards. You then use this field to enter the member's card, chip or barcode ID number. Next, scan the card, chip or barcode to sync it with the client's profile. This will allow them to check themselves in when arriving for their bookings. Important: Editing the ID number or renaming the CheckInId field can create issues and prevent clients from checking in. To connect the Client Check-In app to a wedge reader: Connect your wedge reader to your computer or tablet. Go to Contacts in your site's dashboard. Hover over the relevant contact and click View . Click Edit Contact . Enter the ID number on the client's card, chip or barcode next to checkInId . Scan the client's card, chip or barcode for the first time to activate the client on the system. Click Save . Step 3 | Check in your clients as they arrive When clients arrive for their bookings, they scan their activated card, chip or barcode at reception. They see different options, depending on the settings you choose during setup. Click below to learn what your clients see in each scenario: 1 class appears The client scans their card, chip or barcode and taps Select to check in on your device. Multiple classes appear If your client booked more than 1 class, they see one of the following options, depending on the settings you choose during setup: Check them into all classes: Clients check in for all their upcoming classes. Check them into their first available class: Clients check in to the next class they booked. Let members choose which class to check into: Clients choose which classes they want to check into. Troubleshooting check in issues Experiencing issues when your clients try to check in? Click the error you see for advice on how to resolve it. No classes were found The "No classes were found" message can appear if the client is more than 5 hours early for their upcoming booking. There was an issue checking you in This error message appears if no contacts match with the CheckInId on your system. It can also appear if multiple clients have the same code by accident. Check the client's checkInId matches their card, chip or barcode in Contacts in your site's dashboard. You can then update the relevant code to the correct one where necessary. You control what percentage discount you offer, which events are included, and how long the membership lasts. In addition, choose whether to offer just one membership plan or more. Read an example of how a business owner uses membership plans Adam has a venue that often hosts concerts featuring up-and-coming local musicians. He also occasionally hosts special performances of established musicians, for which he charges higher prices. Adam decided to offer his clients a choice of two membership plans: Silver Plan: Includes 10% off tickets to performances of local musicians. Gold Plan: Includes 25% off local musicians and 10% off special performances. Adam offers the silver plan for free to encourage loyalty and reward his regular customers. He charge $10 / month for the gold plan. Each time Adam adds a new event to his site, he selects which plans apply: All concerts are assigned the silver plan but only the gold plan is assigned to special performances. Additionally, when he assigns the gold plan to an event, he sets whether the plan gives a 25% discount (if it's a local artist) or a 10% discount (for select performances). When customers go to buy tickets, they can view and purchase your membership offers or buy tickets without them. Step 1 | Create an event with tickets Start by creating a new ticketed event or selecting an existing one. Make sure you've created at least one type of ticket for the event. Create a ticketed event Create at least one ticket type Step 2 | Create your first membership plan The first time you create a membership plan, the Pricing Plans app is added to your site (unless you have already added it). It's through this app that your membership plan is offered. Note that a page is added to your site. This page displays your membership plans. Tip: Membership plans come with a lot of options for you to choose from. For example, you can add a policy or add a free trial period. You don't have to decide on all these options while creating the plan. You can create a basic plan and then go to Pricing Plans in your site's dashboard to further customize your plan. To create a membership plan for an event: Go to Events in your site's dashboard. Select a ticketed event. Click the Tickets tab. Click Edit next to Memberships . Click Create Membership . Click Get Started . Note: The Pricing Plans app is added to your site. Enter the plan name (e.g. VIP plan). (Optional) Enter a short description of the plan. Enter each plan benefit and press Enter on your keyboard (e.g. 20% discount on concerts, first drink 30% off). (Optional) Connect this plan to other benefits: Note: You can connect this plan to other events, or other services your site offers (e.g. groups ). The event you are editing is automatically connected to this plan. Connect additional events to this plan: Click +Add Upcoming Event . Select an event from the Choose Event drop-down. Connect other site services: Select the checkbox next to what you want to include in the plan (e.g. bookings services, blog subscriptions, groups) and select the specifics you want to include. Tips: In the example below: This site had Wix Groups set up, so Groups was available to be selected. One specific group was connected to this membership plan. Besides the event that was automatically selected as part of the membership plan, 2 additional events were added. Enter the discount amount next to each event (e.g. 25%). Enter the maximum number of tickets a guest can apply the discount to next to each event. Select a pricing option: Free Plan: Clients don't pay for this plan:Select the duration of the plan from the Length of Plan drop-down. One-time Payment: Clients pay a specific amount for the entire duration of the plan.Enter the plan price in the Price field. Select the duration of the plan from the Length of Plan drop-down. Recurring Payments: Clients pay a specific amount each period, until the plan ends (e.g. a monthly membership that lasts 6 months).Enter the price for each recurring period. Select how often payments are made from the Payment Frequency drop-down. Select the duration from the Length of Plan drop-down (i.e. how long the entire plan is valid for). (Optional) Enable the Enable Free Trial toggle and set the trial length. Learn more (Optional) Make this a promotional plan that clients can book only once. Click the People can only buy this plan once toggle to create a promotional plan for free or for a reduced price. Note: Clients who try to purchase a second time see a notice that the plan can be purchased once. (Optional) Click the Allow plan cancellation to let members cancel the membership by themselves. (Optional) Click the Let people set start date to let members decided when the clock starts running on their membership. (Optional) Click Add next to Add a policy . Step 3 | Connect membership plans to events After you create a membership plan, you can apply to any new or existing events. You decide whether you want to set the same discount percentage and ticket limit for all events, or set different amounts for different events. To apply a membership plan to events: Go to Events in your site's dashboard. Create a new event or edit an existing one. Create at least one ticket type for an event. In the Tickets tab of your event, click Edit next to Memberships . Click the toggle next to the relevant plans to enable them for this event. Enter the discount percentage. Enter the maximum number of tickets a guest can apply the discount to. Click Save . Step 4 | Add the Pricing Plans app in the Editor Since you added the app in the dashboard and it has an Editor component, you'll need to add it in the Editor. Expired: The plan has ended. Grace Period: Filter for customer whose payment failed for their recurring subscriptions. Pending Cancelation: The plan can be used by the customer until the end of the billing period they paid for and then will change to "Canceled" status. Note: You can undo cancelations for plans with the "Pending cancelation" status. If you undo the cancelation, the status of the plan returns to "Active". Free Trial: The recurring plan has a free trial and is in its free trial period. Extending a plan You can extend the duration of a customer's plan. This can happen, for example, when a customer was sick and wasn't able to make use of the plan. Extending a plan does not charge customers any additional fees. To extend a plan: Go to your site in the Wix app . Tap Manage at the bottom. Tap Subscriptions . Tap the relevant subscription you want to extend. Tap the More Actions icon at the top. Tap Extend Subscription . Tap the Extend this subscription till drop-down and select the relevant date. Tap Save . Tap Yes, extend to confirm . Suspending a plan You can suspend a plan whenever you or your customer need to. This is useful if your customer cannot use their plan temporarily through injury, travel or for other reasons. To suspend a plan: Go to your site in the Wix app . Tap Manage at the bottom. Tap Subscriptions . Tap the relevant subscription you want to extend. Tap the More Actions icon at the top. Tap Suspend Subscription . Tap Yes, suspend to confirm. Reactivating suspended plans You can reactivate a suspended plan at any time. Your customer regains access to the subscription and all associated benefits, and you start collecting upcoming payments again. To reactivate a suspended plan: Go to your site in the Wix app . Canceling plans If a customer no longer wants to continue a subscription or you haven't received payment, you can manually cancel a subscription. To refund a plan with a recurring payment: When you cancel a recurring payment, the purchased plan and payment will not continue for the next cycle. For example, if you cancel a monthly plan in the middle of January, the plan continues until the end for January, but does not recur in the following months.     Payment BasicsBest Practices for Accepting Card Payments < Back Payment Basics Best Practices for Accepting Card Payments When you accept a credit card purchase, there is always a chance that the card or card information was stolen and is now being used for fraud. It’s also possible the buyer would try to abuse the chargeback mechanism and make a false claim. At Wix, we work hard to protect our merchants from fraudulent behavior. However you, as a merchant, are always the best line of defense against fraud, since you are fully aware of all that is happening with a particular order and buyer. In this article, learn about: Recognizing possible fraud Handling offline card payments Recognizing possible fraud Fraudsters often use sophisticated techniques to achieve their goals, and they generally operate in 2 ways: By illegally obtaining goods without paying for them By deceiving the merchant to illegally obtain funds There are a number of tell-tale signs that fraud may be in play. To minimize risks and possible chargebacks while accepting online orders, please review the following potential red flags. If you notice any of the behavior below, you should consider taking an extra step to be assured that your customer is not fraudulent. Be wary of: Bulk orders : Large orders on goods that have high resale value (sneakers, electronics, designers’ handbags, etc). Large repeated orders on such items also pose a high risk. Card processing behaviors: Multiple lost or stolen declines, or multiple attempts from different cards. It is unlikely that one customer will have 6 or more cards. Likewise, beware of cases where customers ask to split the payment into 2 or more instalments, especially using different cards. Unusual shipping behavior: Be wary if shipping is overpriced in comparison to the value of goods; if your customer insists on a rush-shipping option without sign-on delivery; or shipping to forwarding companies that provide reshipping to "third countries". 3rd party payment requests : Avoid requests to pay for special “vendor” services that you do not offer (such as door-to-door delivery, custom shipping, catering or event planning). These may be Western Union, Zelle, Cash App or similar money transfer requests. Any 3rd party requests are often indicative of a scam. Please be aware that such payments are final. Likewise, do not issue refund requests via these payment methods. Use the original payment method provided by your customer. If you face any of these red flags, we recommend some additional buyer verification checks. These can include a government-issued ID request, a telephone call, or a check via Zoom. Also, make sure that the order type you are handling correlates with your regular business practices. You always have an option to cancel the order and refund the initial payment if you spot behavior that may be considered fraudulent Handling offline card payments Offline card payments fall into 2 categories: Customer present : The customer is standing in front of your POS reader and inserts/taps/swipes their card Manual Card Entry : The customer is sharing their payment details with you, and you are inputting them via a POS terminal. Unlike the Guest List tab, where you can manage individual guests, here you can view and manage each order you received (in case you have multiple guests in a single order). Order statuses: Paid: Payment was received. Pending: The guest paid online but the payment has not yet arrived. Not Paid:  The Not Paid status appears in these cases:The order was purchased using the Manual Payment method . You added the guest manually . Processing: The guest made a payment, but the payment provider is still processing it. Declined: The guest paid, but the payment was declined by the payment provider. Note that if an order is "Pending" for over 2 hours, the status changes to "Declined" and tickets become available for purchase by others. To manage your orders: Go to Events in your site's dashboard. Select the published, ticketed event you want to view. Click the Orders tab. View the list of orders made for your event. Tip: Use the search bar to search for a guest by name. Manage your orders by doing the following: Mark an order as Paid Mark an order as Paid once you have received payment from your guest (for offline payment). Select the checkbox next to the relevant order(s). Click Mark as Paid . Click Mark as Paid to confirm. Note: You can select a specific order and change the order status from Not Paid to Paid there. Remove an order Remove an order from the Orders tab if the guest is no longer attending and wants to cancel their order. Select the checkboxes next to the relevant order(s). Click Remove From List . Click Remove Order to confirm. Notes: You can locate orders that you removed by filtering the order list. After filtering for "Removed", you can click an order and then click Restore to make it active again, unless the order tickets were connected to a seating map. If you set limits on how many people can register or buy tickets, the count is adjusted after you remove an order to include the extra registration(s) or ticket(s). Resend tickets in an order Resend all tickets associated with a specific order. If the order was for multiple guests, all guests receive another email with the ticket. Select the relevant order.
