Tip:

  • You can also manage order emails, such as emails sent when you initiate a refund or update an order. To access these emails, go to Checkout settings in your site's dashboard and click the Emails & Notifications tab at the top.

Customizing your outbound client emails

You can customize all of your automated emails to better fit your brand and style. You can add text, images, videos and more to make your emails more personalized and informative for your clients.

Notes:

  • You can only customize or edit certain parts of the pre-installed email automations. This is to ensure uninterrupted delivery of important session information to your clients.

  • The main image in your automated emails is the same as the image you select when creating a service.

  • Read more about customizing your automated Wix emails.

To customize your outbound client emails:

  1. Go to Booking Settings in your site's dashboard.

  2. Click Notifications you send.

  4. Click Edit next to the automation you want to customize.

  5. Click the Send an email action in your flow to open the panel.

  6. Choose what you want to customize:

Important:

  • Automated emails sent from a public email service like Gmail or Yahoo tend to land in the spam or promotions category. It's better to use an authenticated address (e.g. you@yourbusiness.com).

  • If you use a public domain address (e.g. example@gmail.com), Wix redirects your email through our own authenticated address. Don't worry, only your name and subject line appear in the inbox and readers' replies will go straight to your inbox.

  • You may be asked to confirm your reply-to address. If so, you'll receive an email in your inbox with instructions.

To edit the sender details:

  1. Click Edit under Sender details.

  2. Click the More Actions icon

Wix Bookings: Managing Your Outbound Client Emails

    and select Edit.

  3. Edit the details:

    • Sender's name: Edit the name that appears in the recipient's inbox.

    • Reply-to email: Edit the email address people reach when they hit reply.

Note: If you enable dynamic reply-to email option, the address you entered will appear as 'From' to the recipients.

  4. Click Save.

  5. Click Save again to confirm.

  6. (Optional) Click the Dynamic reply-to email toggle to change the email address people reach when they hit reply.

    • Enabled: The reply-to email address will be dynamic based on the value you select. Click the drop-down to select a dynamic value from the property picker (e.g. contact email from the trigger data).

    • Disabled: Recipient will see the reply-to email when they hit reply.

  1. Click Send an email.

  2. Choose what you want to do:

    • Edit:

      1. Edit your chosen email template:

      2. When ready, click Save & Continue/Publish at the top right.

    • Switch template: Use a different email template from a different automation or email marketing campaign.

Note: Switching to a different template replaces your existing automated email, and you will lose any previous changes you made.

    • More Actions: Click Preview & test to see and test the email or Reset to default template to reset the edits you made to the original email template.

(Confirmation and Cancellation email automations only) Select the Calendar invite file (ICS) checkbox to include a Universal Calendar File format with your email. This file contains details about bookings, such as session dates, times, locations, and Video Conferencing details.

Notes:

  • ICS files may not work properly when sent to clients who use Microsoft Outlook.

  • You cannot send ICS files for courses.

The email types for Wix Bookings email automations come pre-installed. We do not recommend changing them as this may impact delivery to client email inboxes. Learn more about email types.

Select the relevant checkboxes to decide who receives the automated email when it's triggered.

  • Include trigger contact: This is the recipient who triggered this automation. This checkbox is selected by default for Wix Bookings email automations.

  • Include additional recipients: Every additional recipient included in this automation receives an email every time it’s triggered. Learn more about recipient groups.

7. Click Apply, Save, or Publish Changes.

Adding variables to your outbound client emails

Variables, or dynamic values, are pieces of code that display different information to each client based on their contact data.

Dynamic values can display personalized text (for example, the client's name) or information related to your business relationship (for example, the service price, staff member in charge or location).

To add variables to your outbound emails:

  1. Go to Booking Settings in your site's dashboard.

  2. Click Notifications you send.

  3. Click the Emails tab at the top.

  4. Click Edit next to the relevant automation.

  5. Click the Send an email action in your flow to open the panel.

  6. Click Create an email.

  7. Click Edit.

  8. Choose where you want to add a dynamic value:

    • In the subject line of the email:

      1. Click Edit next to the subject.

      2. Click + Dynamic Value below the subject and select the relevant values from the drop-down. For example, with a cancellation email, you might want to include the creation date, when the client first scheduled the canceled booking.

      3. Enter the fallback text. Clients see this text when no data is available for the dynamic value you chose.

      4. Click Add.

      5. (Optional) Click the Preview text field and enter the text that will appear after the subject line in the recipient's inbox.

Note: You can also click + Dynamic Value to add a value from the drop-down to your preview text.

      6. Click Save.

      5. Click Add.

  9. When you've finished customizing your email, click Save & Continue at the top right.

  10. (Optional) Click the More Actions drop-down and select Preview & test to generate a preview and send yourself a test version.

    2. Enter the relevant details for the test email.

    3. Click Send.

    4. Click Done.

    5. Click Back to Editing at the top.

  11. Click Save & Continue to finish adding variables to your email.

  12. Click Save at the top.

Automatically send pay links in email notifications

Make it easy for clients to pay for their bookings by including pay links directly in their email notifications. When you enable this option, clients receive a unique pay link for any unpaid sessions, streamlining the payment process and helping you get paid faster.

For example, this is helpful for collecting payments for services set to be paid in person, or for letting clients pay the remaining balance of a deposit paid online.

To automatically send pay links:

  1. Go to Booking Settings in your site's dashboard.

  2. Click Notifications you send.

  3. Click More Actions at the top right.

  4. Click Send automatic pay links.

  5. Enable the toggle.

  6. Click Save.

Important:

If you customized any bookings automations, pay links are not added automatically when you enable the toggle. To include pay links, you need to revert your automation to the default template. This removes all previous customizations, so you will need to recreate your custom automation.

To add pay links to your edited automation:

  1. Go to Automations in your site's dashboard.

  2. Click the App automations tab.

  3. Click the More Actions icon

Wix Bookings: Managing Your Outbound Client Emails

next to your edited automation and select Duplicate.

  4. Click the More Actions icon

Wix Bookings: Managing Your Outbound Client Emails

next to the original automation and select Revert to default.

  5. Copy your custom changes from the duplicate back into the original automation.

  6. Delete or disable the duplicate.
