- Wix Bookings: Adding and Setting Up an Appointment Waitlist | Wix Expert
< Back Managing your business Business solutions & apps Wix Bookings: Adding and Setting Up an Appointment Waitlist The appointment waitlist helps increase your earnings by filling schedule gaps caused by last-minute appointment cancellations or reschedules. For example, if your client sees no relevant slots are available for a haircut on their preferred day, or if they can’t find a relevant slot, they can join the waiting list. As soon as a spot becomes available, you can contact them and book them in. - Wix Bookings: Selling Services as Products | Wix Expert
< Back Managing your business Business solutions & apps Wix Bookings: Selling Services as Products Selling a specific service you provide as a single "product" with one predefined price, instead of charging billable hours, can help simplify the purchasing process for your clients. For example, instead of having clients book multiple appointments, you can offer a "5-year Family Financial Plan," and sell it like a pre-packaged product. Other examples include “Tax Return Preparation” for accountants or “Contract Drafting” for lawyers. This clarity on cost, scope and value makes these services easier and more appealing to buy. Click Upload Media to add images, GIFs, or videos and select the relevant media. Click Add to Page . Enter the service name in the Name field under Product info (max. 80 characters). Enter the info section title. Enter the relevant information in the Description box. Tip: You can also use the text editing toolbar to format the text. Click OK . Enter the Price for the service product. (Optional) Enable the On sale toggle and choose either a percentage ( % ) or monetary ( $ ) discount and enter the relevant number in the Discount field. Note: The sale price appears after the discount is applied, so you can check the offer is correct. Click Save . Tips: Click Generate AI Text to get help composing an effective product description. You can save time by adding the same info section to multiple products at once . When copying and pasting a description from another source, paste the text by pressing Shift + Ctrl + V on Windows and Cmd + Shift + V on Mac. - Wix Automations: Troubleshooting Wix Automations | Wix Expert
< Back Managing your business Managing your customers Wix Automations: Troubleshooting Wix Automations If you're having trouble with Wix Automations, it could be an issue with the way your automations are set up. It could also be a local issue such as your internet connection. Follow the relevant troubleshooting steps below to find a resolution. Automation is not triggering If your automation is not triggering, follow the steps below. Step 1 | Check the automation summary View the statistics of an automation to see how many times it has been triggered, as well as the most recent activity. If the number is too small relative to what you were expecting, it might mean that the automation is not properly triggering. Go to Automations in your site's dashboard. Click the relevant automation and view statistics information in the panel on the right. Step 2 | Check your trigger and filter configuration Some triggers have filters (e.g., selecting a specific form on ‘Form Submitted’ trigger), and your automation might not be triggering since it's not passing the filter configuration. Go to Automations in your site's dashboard. Hover over the relevant automation and click the More Actions icon . Click Edit . Click on the trigger to see its settings and filters, making any updates necessary. Click Save . Step 3 | Check the delay When setting up your automation you might have set up a delay to make the automation wait before performing some actions. If you notice that some actions don’t execute when expected, go back and check that delay. Go to Automations in your site's dashboard. Hover over the relevant automation and click the More Actions icon . Click Edit . Click on the delay to check its configuration, making any updates necessary. Click Save . Note : Changing your automation delay resets actions that are "pending" for that automation. For example, John has set up an automation that reminds customers about abandoned carts after 3 hours. Mary abandoned her cart at 12pm. If John edits this automation at 2.30pm, changing the action timing to 2 hours, Mary will not be reminded (the point at which Mary's cart was abandoned the 2 hours has already passed). Step 4 | Check the limit once per person Check if the automation was set to run once per person. If you enabled the Trigger once per person toggle in your trigger settings, it limits the automation to run once per contact/visitor/any other person from the trigger data. Go to Automations in your site's dashboard. Hover over the relevant automation and click the More Actions icon . Click Edit . Click on the trigger to check if the Trigger once per person toggle is enabled, making any updates necessary. Click Save . Automations don't run retroactively: An automation only runs for triggers that happens after the automation is activated. Learn more about how to avoid missing trigger data and manually add recipients to an email automation. Automation is triggering, but automated email isn't sent If your site visitor hasn't received your email but the automation has been triggered, follow the steps below. Step 1 | Check automation statistics Check automation statistics to see if the email was sent. You only see unique recipients in automations statistics. If an automation is triggered for the same contact on more than one occasion, it counts as only being sent once. Go to Automations in your site's dashboard. Scroll down to the Your automations section. Hover over the relevant email automation and click the More Actions icon . Click View email stats to view your email marketing statistics . Step 2 | Check the spam folder When you set up an automation to send an email to your contact, the email could end up in their spam folder. They (or you, if you're testing the automation) should go to their inbox and look for the email in that folder as well. Learn more about automations sent through Wix Email Marketing being marked as spam . If checking the spam folder doesn't solve the issue, please whitelist the following emails: no-reply@test.wixshoutout.com @automations.ascendbywix.com If you're using a custom domain as your reply-to email : Your email address . Step 3 | Check that the recipient's email address is active Check that the recipient's email address is active and that they've subscribed to your mailing list. If they have, you'll see a "SUBSCRIBED" label on their contact card . If your automation sends an email to an inactive contact , the email will not go through. Step 4 | Check that the recipient's email address is valid Check that the recipient’s email address is valid. If it's not, the recipient won't receive an email (even if the automation was set up correctly). Issues with Wix Forms automations If you're using Wix Forms and you notice a problem with the automation follow the steps below. Click the version of Wix Forms relevant to you. How do I know if I'm using old Wix Forms or new Wix Forms? This article will help you understand the differences between old and new Wix Forms. New Forms Step 1 | Check that the form was successfully submitted You'll be able to see all submissions in your form's submissions table . Step 2 | Check that the right form is selected as part of your trigger If you've set a specific form to trigger your automation (rather than any form), make sure you've selected the right form. Step 3 | Make sure there is an email/phone field in your form When your automation's trigger is Form submitted , and has Include trigger contact selected under Set recipients , the trigger is reliant on specific contact details to complete the action. If these contact details are missing, the action cannot be completed. Form requirements for automations: Action is Send an email : Form must include an email field. Action is Move card in a workflow : Form must include an email field or phone field. Action is Add a label : Form must include an email field or phone field. Step 4 | Check that the email field is the correct form field type Access the form builder to manage its fields . Click the relevant field to ensure the field type says email. Step 5 | Check if you hold multiple emails addresses for one contact Access your contact's contact card to see if you hold multiple email addresses for them. If a contact has multiple email addresses, usually automated emails are sent to an additional email rather than the contact's main/primary email. Contacts you hold only one email address for are not affected. If you're logged in and testing your form using multiple email addresses, your site will recognize that these are all from your login and will merge them under one contact. For this reason, the automation will not be delivering emails as you may expect. Old Forms Step 1 | Check that the form was successfully submitted You'll be able to see all submissions in your form's submissions table . Step 2 | Check that the right form is selected as part of your trigger If you've set a specific form to trigger your automation (rather than any form), make sure you've selected the right form. Step 3 | Make sure there is an email/phone field in your form When your automation's trigger is Form submitted , and has Include trigger contact selected under Set recipients, the trigger is reliant on specific contact details to complete the action. If these contact details are missing, the action cannot be completed. Form requirements for automations: Action is Send an email : Form must include an email field. Action is Move card in a workflow : Form must include an email field or phone field. Action is Add a label : Form must include an email field or phone field. Step 4 | Check that the email field is the correct form field type Access the form in your Editor to manage its fields . Hover over your email field to make sure its title is Email Field . Step 5 | Check that the email field is synced with an email field in your Contact List The email field in your form needs to be synced to your Contact List. The field synced must be either Email or Email (Main) . If it’s anything else, it won't work as an email field. After your visitor submits such a form, a contact is not created and an automated email cannot be sent. Learn more about checking and editing form fields . Step 6 | Check if you hold multiple emails addresses for one contact Access your contact's contact card to see if you hold multiple email addresses for them. Test your automation: Make sure you are logged out of your Wix account, then submit your form to test the automation. If you are logged in while submitting a form, your email address and the test email address will become merged under the same contact. When one contact has multiple email addresses, emails from automations are sent to the email address used when filling in the form. FAQs Click below to see some common questions about automations: Why did my automation stop working after I edited it? When editing an automation, the triggers and actions might reset, causing it to stop working. After making changes: Double-check all trigger and action settings are correct. Test your automation using your own contact or form submission to make sure it works. Tip : If the issue continues, create a new automation with the updated settings to avoid glitches. Why are my automated emails being sent multiple times to the same person? This might happen if the Trigger once per person option isn't enabled in your automation settings. Enable this option in your trigger settings to avoid duplicate emails being sent to the same person about the same topic. Can I send automated messages to contacts who have a "Never Subscribed" status? No. A "Never Subscribed" status means a contact has not opted-in to receive marketing emails through your site's forms. To change their status, you must obtain their explicit consent to comply with privacy laws. If I change my business email, do I need to update my automation? Yes. Changing your email address in your Wix account settings, updating your business email, or transferring site ownership does not automatically update any active automations. If your automation sends email notifications, your old email address may still be set as the recipient or as the reply-to email. For example, if you created an automation to notify yourself about new form submissions, the notification may still be sent to the old email address you originally added. To update the email details in your automation: Go to Automations in your site's dashboard. Hover over the relevant automation and click Edit . Click the Send an email action. Check the following: Recipients : If your old email address is listed as a recipient, replace it with your new one. Sender details : Click Edit next to Sender details , then update the reply-to email. Click Save . My automation ran, but the email wasn't received. Why did it fail? The email may have bounced. This can happen if the recipient's inbox is full, or if their email provider previously rejected an email from Wix. To check, go to your contact list and look for a red 'Bounced' warning next to the contact's email address. To help prevent this in the future, authenticate your email domain. You can also ask your email provider to whitelist Wix domains such as @automations.ascendbywix.com and @wixforms.com. Why did my automation email send the first time I tested it, but not when I tried again? Check whether the automation has the Trigger once per person setting enabled in the trigger options. If it does, the email address you used for your first test is already counted. This means the automation won’t send again to that same address. To test the automation more than once, you can either: Temporarily turn off the Trigger once per person setting. Use a different email address each time you test. Why does my automation log say my email was sent, but the contact didn’t receive it? If your automation log says the email was sent, the message may still be filtered or blocked by the recipient’s email provider. Check that your automation has a notification topic and Subscribed or Never Subscribed in your contact list (not Unsubscribed or Bounced ). If you’re testing the automation yourself, also remove any duplicate contacts with your email address. What information should I include if I need to reach out for assistance? For us to best assist you, it helps to send us a screenshot or video of the issue (if a video, recreate the issue while recording the steps). My site visitors are being spammed by my automated emails. How do I prevent this? If your visitors are receiving too many automated emails from your site, you may need to disable the automation that is sending the unwanted emails. Begin by identifying which automations are currently running, and then disable those you no longer need. To do this: Go to Automations in your site's dashboard. Review your automations: Default automations: Click the App automations tab. Custom automation: Click the Custom automations tab. Hover over the relevant email automation and click the More Actions icon . Click the toggle to disable an active automation. Notes: If you deactivate an automation, any ongoing runs stop and any pending actions are cancelled. Trigger data isn't collected when an automation is inactive. The automation won't run retroactively when reactivated. For example, an automation that sends "thank you" emails following purchases is deactivated on Monday. Joe makes a purchase on Tuesday. The automation is reactivated on Wednesday. Joe won't receive a "thank you" email because the automation couldn't collect the trigger data on the day of Joe's purchase. - Changing Nameserver (NS) Records for a Wix Domain | Wix Expert
< Back Connecting a domain Managing domains Changing Nameserver (NS) Records for a Wix Domain Nameserver (NS) records tell the internet which provider manages your domain's DNS records and where to go to find a domain's IP address. By default, domains you purchase from Wix use Wix nameservers. You can use custom nameservers from another DNS provider and keep your domain registered at Wix. For example, if you use a service like Cloudflare for security, or if your site is hosted on another platform that requires its own nameservers. Important When you switch to custom nameservers, Wix no longer manages your domain's DNS. This may affect your Wix site, SSL certificate, mailboxes and any DNS records you set up in your Wix account. Before you begin Contact your DNS provider to get the 2 nameservers you need to use. Wix requires both nameservers. Unassign the domain from your Wix site before changing nameservers. There is no need to reassign your domain after changing NS records. Learn how to unassign a domain from your site . Changing your domain's nameservers Change your nameservers from the Domains section of your Wix account. To change your NS records: Go to Domains in your Wix account. Click the Domain Actions icon next to the relevant domain. Select Manage DNS records . Scroll down to the Nameservers section. Click Use custom nameservers . Nameserver changes can take up to 48 hours to propagate and for your site to appear worldwide. Learn more about domain propagation . FAQs Click a question below to learn more about changing your NS records. What happens when I change my nameservers After you switch to custom nameservers, your new DNS provider controls where your domain points. Wix no longer manages: Your site's DNS records: Your domain stays connected to a Wix site only if your new DNS provider has records that point to Wix. Any DNS records you set up in your Wix account stop working. Your SSL certificate: Wix can no longer renew your site's SSL certificate through your domain's DNS, so check your SSL status after the change. Email: Wix mailboxes and email routing stop working unless your new DNS provider has the correct MX records. Add the records you need with your new provider. Can I reset my nameservers to the default Wix records? Yes, you can reset your nameservers to the default Wix values at any time. This points your domain back to Wix's nameservers, and Wix will manage your DNS, SSL and email again. To go back to Wix nameservers: Go to Domains in your Wix account. Select Manage DNS records from the Domain Actions icon next to the relevant domain. Scroll down to the Nameservers section. Click Reset to Wix . Do I need to change my nameservers or can I point my domain? You can change your nameservers if your host or DNS provider requires it, for example if you want to use Cloudflare. However, if your host lets you point your domain using A and CNAME records, you can do that without changing your nameservers. Learn how to connect a Wix domain to an external site via pointing . Do I need to transfer my domain away from Wix to use another DNS provider? No. You can keep your domain registered at Wix and use custom nameservers. This allows you to connect your Wix domain to another provider or website while keeping it with Wix. Who do I contact if my site, email or SSL stops working after the change? Once you change your nameservers to point away from Wix, you need to contact your new DNS provider. This article is credited to the Wix team - https://support.wix.com/ and we thank them for that! - Wix AI Site Chat: Understanding Data Coverage | Wix Expert
< Back Managing your business Managing your customers Wix AI Site Chat: Understanding Data Coverage Important: Wix AI Site Chat is no longer available to install on new sites. Wix Smart Chat is replacing it as the new AI and manual chat solution. Learn more about Wix Smart Chat. Your AI Site Chat's data coverage gives you a clear view of what the AI knows about your site and where its knowledge comes from. In this tab you can see which site content has been indexed and where there may be issues that prevent the AI from learning about your site. Use this information to optimize your site and improve the AI's performance. Viewing your data coverage See how all available site content is indexed. When content is indexed, it means the AI has scanned, analyzed, and stored this information so it can use it to answer your visitors' queries. This content may include site pages, your store products, blog posts, services, events, online programs, and training rules you've added. To view your data coverage: Go to AI Site Chat in your site's dashboard. Click the Data Coverage tab. Review the content the AI has indexed from your site. For each content type, you’ll see the following information: Data type: The type of site content analyzed (e.g. products, site pages, blog posts). Total on site: The total number of items per type on your site. Available for indexing: How many pages or items on your site the AI can potentially learn from. Indexed: How many pages or items were successfully indexed by the AI. Status: A checkmark indicates the AI has completed scanning the pages. Tip: The AI is automatically trained using your site's publicly available content. However, you can add training rules with information that isn't published on your site, such as internal policies or product details. Limitations for indexing pages Not all content on your site is available for your AI Site Chat to learn from. Some pages are restricted for privacy reasons, while others may be skipped due to how they’re set up or where their content comes from. Review these limitations to understand what content cannot be used: Content that can't be indexed Some types of pages and content are excluded from indexing, either due to privacy restrictions or current technical limitations. Examples may include: Hidden pages: Not publicly available or linked anywhere on your site. Password-protected pages: Content behind passwords can’t be accessed. Member area pages: Content restricted to site members only is skipped. Dynamic pages: Pages generated from collections are currently not supported. Content that may be skipped Even among content that can be indexed, some pages or items may be skipped due to technical reasons, content structure, or app limitations. Examples may include: Checkout, cart, or thank-you pages: These are pages with no useful content for the AI chat. App-based pages: Some apps (e.g. Wix Restaurants) don't expose full data in a format the AI can use. Third-party apps: Not all external apps allow their content to be indexed. Empty or duplicate pages: Pages with little to no text or repeat content may be skipped automatically. Note: Support for more content types and apps is coming in future updates. Understanding your site's coverage level At the top of the page you’ll see a status bar that shows how successfully your content was indexed out of all the items available for indexing. This helps you understand how well the AI is managing to collect information and learn from your site. Here's what your coverage signifies: Good coverage: Most of your site content has been successfully indexed. The AI can give complete and accurate responses. Average coverage: A moderate amount of your content has been indexed. The AI can answer many questions, but some gaps in knowledge may still exist. Low coverage: Only a small portion of your content has been indexed. You may want to review your site for hidden, restricted, or unsupported pages. How can I improve my coverage? Check if your site contains empty, hidden, or dynamic pages that could affect that amount of content successfully indexed. If possible, make more content public. Add more text and details to your site pages. The more text you provide, the more the AI has to learn from. Create knowledge rules to give the AI more information about topics that don't appear directly on your site. This expands the AI’s ability to answer more questions accurately. FAQs Click a question below to learn more about data coverage. Can I prevent certain pages from being indexed? Yes, you can exclude specific site pages if you don’t want the AI to learn from them. Learn how to exclude site pages. Does the AI learn from private or internal documents? No, the AI only learns from published, public content on your site. You can also add training rules with information that isn’t published on your site, such as internal policies or product details. Learn how to train your AI chat . - Wix Payments: Understanding Your Payments Table | Wix Expert
< Back Managing your business Accepting payments on your site Wix Payments: Understanding Your Payments Table Your payments table displays the financial transactions in your account according to the Order Date. Payments go through transaction cycles in which the status in the table will update accordingly. Note: The table is updated several times a day. Example of a typical transaction cycle When the customer places an order and it is approved, the payment appears on the payments dashboard in Status as: Pending . Once the customers’s card issuer pays the funds to Wix the status of the payment changes to Successful . Should the customer ask for a refund, and the refund request is sent to Wix Payments, the payment appears in the payments dashboard in Status as: Pending Refund . Once the funds are returned to the card owner the status of the payment changes to Refunded . Should the customer ask the card issuer to chargeback a payment, and the request is sent by the bank to Wix Payments, the payment appears in the payments dashboard in Status as: Action Needed . Once the funds are settled to the card issuer, the status of the payment changes to Chargeback. Should the merchant (you) dispute a chargeback and the bank accepts the dispute, the payment appears in the payments dashboard in Status as: Chargeback In Dispute . Once the card issuer pays the funds back to Wix the status of the payment changes to Chargeback Won , which means the chargeback was reversed. Payment Table Fields The table has the following fields: Order Date: The date in which the order was placed. Customer: The name of the customer who placed the order. Product/Service: A description of the product / service in the order placed. Payment Method: The payment method used for the order (e.g. credit card / manual payment...etc.) Status: The current state of the payment. See below for details. Amount: The amount that the customer paid. Note: Only approved transactions appear in the table. You will not see transactions that were declined. In addition to the information displayed in your payments dashboard, the following information is included when you download the detailed table (CSV file). Payment Date: The date on which the payment was made. Provider Payment ID: A unique reference ID for the payable (payment due). Wix Payments Transaction ID: The unique transaction identifier assigned to the original transaction by Wix Payments. This ID may be associated to several payables. Cashier Transaction ID: A unique transaction ID used by Wix's payment system. Payout ID: The transaction ID for the payout of the funds from your Wix Payments account to your bank account. All transactions paid out in the same day have the same Payout ID. A Payout ID is only assigned once the funds are transferred to your bank account. Customer Name: The name on card used to make the order. Payout Date: The date on which the payout was processed by Wix Payments. Note: A single payment can have multiple movements for the corresponding payables. For example, an order will have a payable for the sale, and if it gets returned (refunded) it will have a separate payable. Transaction Types There are a few different types of transactions which can occur in your account. The following is a list of possible transaction types: Pending: Funds coming into your account for a sale. Refund: Funds leaving your account due to a sale being refunded. Chargeback: A customer has disputed your charge with his card provider or bank. The funds have been returned to the customer's account. Note: Chargebacks are decided by the credit card provider / bank, and not by Wix. Funds Transfer: If your account has a negative balance, Wix may claim back those funds once they become available. Or, if for any reason, Wix needs to make a positive adjustment in your account, these funds will be transferred to you. Transaction Statuses Depending on the type of transaction, the transaction may have one of the following statuses: Pending: The transaction was approved, but the funds are not yet available for payout. Successful: The transaction was approved and the funds are available for payout. Pending Refund: The debit transaction (e.g. refund / chargeback) was approved, but the funds have not been debited from your account. Refunded: The debit transaction (e.g. refund / chargeback) was approved and funds were debited from your account. Paid Out: The transaction was included in a previous payout to your bank account. Payout Reversed: The transaction is part of a payout that was returned by your bank. The funds are available in your Wix Payments account. Failed: The transaction has failed. Authorized : The payment is approved by the customer’s payment method and the payment sum is held in their account, in readiness to be captured (paid) later. Void : The authorized payment is cancelled and the hold on the payment is released from your customer's account. Suspicious : There is a high probability that the order has been made without the cardholder’s knowledge or permission. Consider refunding the payment and holding off on fulfilling the order. Action needed: You received a chargeback and can choose whether to accept it or dispute it. You're still within the timeframe to submit the dispute. Expires in "X" days: You received a chargeback and can choose whether to accept it or dispute it. You have the indicated number of days to submit the dispute. Expired: The time frame for filing a dispute has passed. The chargeback's status is now final and cannot be changed. Final: You received a chargeback but cannot dispute it. This status cannot be changed. Accepted: You received a chargeback and accepted the claim. The funds remain with your customer. Disputed: You received a chargeback and filed a dispute against it. It is now in review by the relevant credit card issuer. Lost: The bank and the credit card issuer have reviewed your dispute and found your evidence insufficient to prove the charge is legitimate. The funds will remain with the customer, and you will not be able to dispute the decision through Wix Payments. Won: The bank and the credit card issuer have reviewed your dispute and decided to recognize the payment as a legitimate charge. The funds will return to your Wix Payments account along with the chargeback fee. Note: The Payment ID visible in your payments table is a reference for your Wix Payments account only. It's not linked, nor can be referenced, to processors such as Affirm, Afterpay and Klarna. This article is credited to the Wix team - https://support.wix.com/ and we thank them for that!
